Alerts display based on your user permissions. These permissions are set by your system administrator in the Tools section as in the below example.
Alerts include the following areas and more:
· New staff messages
· Overdue staff message follow-ups
· New progress notes
· Overdue progress note follow-ups
· Overdue Care Evaluations
· Unresolved Incidents for admitted residents
· Unresolved Compulsory Reportable Incidents for admitted residents
· Weight and vital signs outside reportable ranges
· Unresolved Infections for admitted residents
· Progress note have not been written for ...residents
· Overdue ACFI claims
· Bowels not opened for ...residents
· Pending Events
· Unresolved wounds for admitted residents
· ....medications due for ....residents
· ...regular medications due for expiry on the chart
· .....PRN medications administered to ...residents
· ...prescriptions added/changed for ...in the past week
View Your Alerts:
v Click on the Alerts button on the Facility Home Page to access your alerts
v A list of your alerts will display on the page.
v Alerts are hyperlinked, that is to say, simply click on an alert to display its full details. There are two types of alerts; general communication and resident related.
i. Clicking on general communication alerts such as ‘new staff messages’ or ‘new progress notes’ will take you to the relevant page, i.e. Staff Messages or Progress notes pages
ii. Clicking on resident related alerts will take you to a list of the relevant residents. In the below example the ‘Bowel not opened’ alert was clicked.
v Tabs for all 59 residents whose bowels were not opened will display.
v Click on ‘View Details‘ to view the related chart; in this instance, the Bowel Chart.
v Each tab also contains a date. The dates next to the alert are described below.
Overdue care evaluations – date the care evaluation was due
Unresolved incidents – date of the incident
Weights and/or Vitals outside of the reportable range – date of the weights and/or vital sign outside of the reportable range
Unresolved infection – initial date of the infection
Due ACFIs – date the ACFI was due
Bowel not opened – date the bowels should have been opened according to the resident’s settings
Unresolved Wounds – initial date of the wound
v To print, click Print on the top right of the screen
v Download and print the list by clicking on Download PDF or Download Word
Create a Follow-Up Alert:
If you wish staff to follow-up on a noted action or to address a noted issue at a later date, a follow-up alert can be added to a Progress Note or Staff Message. A follow-up alert can be assigned to a specific user, a user group (user role) or all users. User/Resident permissions apply to progress note follow-up alerts. A follow-up alert can be created for a progress note or staff message at the time the entry is made, or can be added to an existing progress note or staff message at a later time.
A follow-up alert alerts the selected user of the entry and will not specify what the follow-up action should be. If further information is required, an additional note can be added to a progress note.
Note: The instructions below describe how to create a follow-up alert for a progress note. The process is the same to create a follow-up alert for a staff message.
v To create a follow-up alert for an existing progress note, click the Create Alert link for the selected progress note. (The Create Alert link will only display if an open alert does not currently exist for the progress note)
v A ‘Create Follow-up Alert’ window will display
v Select the relevant User(s) to receive the follow-up alert:
i. All Users – all users assigned to the resident will receive the follow-up alert
ii. All Users in role – all users assigned a selected user role, who are also assigned to the resident, will receive the follow-up alert. Select a user from the list displayed.
iii. User – a selected user will receive the follow-up alert, as long as they have access permissions to the resident. Select a user from the list displayed.
v Now, click the Alert Date box and select an alert date from the interactive calendar displayed. (The alert date is the date on which this follow-up alert will display in the users’ Alerts)
v Select Save. The follow-up alert has now been added to the progress note. The user(s) selected will be notified of this progress note alert in their Alerts on the date specified.
Close a Follow-Up Alert:
vWhen you click the ‘x’ a pop up box will appear. Enter information re what was done about the alert and click save.
vOnce you click save your comments will appear marked as ‘ALERT COMMENTS’ against the progress note.
